A private enquiry is a decision, not an impulse.
Someone ringing a private clinic has usually thought about it for weeks and finally picked up the phone. If it rings out, that decision does not get made again this month. They ring the next clinic, or they go back to waiting.
Those calls arrive in the evening, because that is when people stop working and start dealing with themselves.
- Answers evenings and weekends, when private enquiries actually happen
- Books consultations, assessments and follow-ups
- States your fees plainly, and never guesses one
- Refers urgent symptoms to 111 or 999 instead of booking them
- Never assesses symptoms or suggests treatment
- Handles the insurance question without overpromising

What it handles
The calls your front desk cannot always reach
-
1
Consultations and follow-ups
Books initial assessments and review appointments, knows an assessment runs longer than a follow-up, and knows which practitioner does what.
-
2
Fees and insurance
States your published fees exactly as you gave them. On insurance it explains what you accept and what the patient needs to check with their insurer, without inventing cover you do not have.

The clinical line
It does not assess symptoms, suggest causes or recommend treatment. Chest pain, sudden weakness, numbness or severe breathlessness go to 999 or 111 immediately, and are never booked as an appointment.
Why the voice matters here
People ring clinics about private things.
Somebody describing back pain, a skin concern or a fertility question is already uncomfortable. A brisk overseas call centre voice makes them wish they had not phoned, and a good number of them simply do not phone back.
We use calm British voices and tune them so the first ten seconds sound like a clinic rather than a sales floor.
- Discreet and calmThe tone of a good reception desk.
- Knows the red flagsUrgent symptoms leave the system immediately.
- Under a second to replyA conversation, not a queue.
- Never guesses a feeOnly the prices you published.

What clinic managers ask
Will it give clinical advice?
No, and it is explicitly barred from trying. It will not assess symptoms, suggest a cause, recommend treatment or comment on medication. It says it cannot advise on that, then books the patient in with someone who can.
What happens if somebody describes something urgent?
It leaves the booking flow entirely. Chest pain, sudden weakness or numbness, severe breathlessness, heavy bleeding or a suspected stroke get 999. Anything else worrying but not immediately dangerous gets 111. Those callers are never put in your diary and never asked to wait.
How does it handle insurance questions?
It tells callers which insurers you work with and what they need to confirm with their own policy, including whether they need a referral or pre-authorisation. It will not tell somebody they are covered, because it cannot know that.
Can it book into our clinic software?
If it has an API or a syncable calendar, generally yes. Google Calendar, Outlook and Cal.com are straightforward. Clinic systems vary, so tell us what you run and we will confirm before you pay anything.
What about patient data and GDPR?
Calls are recorded and transcribed so you can review them, with the required notice in the greeting. Data is held in the UK or EU, any call can be deleted on request, and we sign a data processing agreement as your processor.
Do we have to change the clinic number?
No. You divert your existing line, five minutes with your provider. Divert everything, or only calls nobody answers within a few rings. Switch it off whenever you want.
